Five Hot Tips for Document Retention

I get asked so often about where to start with when upgrading or creating a document retention process. Here are a few best practices for starters

  1. Create an ESI Task Force comprised of key personnel to establish or refine the data preservation process.
  2. All actions and procedures regarding ESI should be tracked and logged, including software purchased, changes in protocol, etc.
  3. Archiving procedures must be periodically reviewed and tested.
  4. All media must be accounted for, including rogue data such as personal emails of key custodians, online storage, legacy data of acquisitions, etc.
  5. Use a reliable and trusted third-party to audit the organization’s process including a review of sampled data.
